JOB SUMMARY

Primary job duties will be to ensure that Health & Wellness Center internal mail is picked up and delivered in a timely and consistent manner.  Will also cover for the HWC Switchboard Operator.  Other duties greet people who enter the facility or call on the phone, provide and receive information, handle administrative tasks, need skills and qualities related to dealing with people and maintaining order in the workplace. Ability to be professional even in the face of complaints, must have excellent customer service skills and be willing and able to assist people.  Have personal qualities of friendliness, motivation and a positive attitude, ability to make customers feel welcome and show a willingness to help them.

MAJOR TASKS AND RESPONSIBILITIES

  1. To be in attendance and on time.
  2. Displays a positive, friendly and helpful attitude with all customers and staff.
  3. Delivers and picks up all internal mail and/or charts within the Health Division.
  4. Processes outgoing daily mail, bulk mail and express delivery packages.
  5. Answers multi-line phone, route calls and documents messages. Able to distinguish priority of calls and notifies appropriate personnel.
  6. Follows policy and procedures related to HIPAA laws, code of ethics and privacy principles.
  7. Assists with filing, assembling new patient records, record repairs and splitting of files as necessary.
  8. Types, performs word processing duties, correspondence and other clerical duties related to PHI, documentation, reports and messages.
  9. Assists with all business office functions within the HWC to include all department receptionists including the switchboard operator.
  10. Provides clerical and administrative support to other departments as assigned/necessary. May cover for the Wellness Center Greeter position occasionally or as needed.
  11. Assists with minutes and attendance at staff and departmental meetings.
  12. Other duties as assigned.
  13. Adheres to safety policies and procedures within the clinic.
  14. Participates in filing incident reports when appropriate and forwards them to Assistant Health Director.
  15. Follows OSHA and safety guidelines applicable to the clinical area.
  16. Represents the MIT Health Program in a positive and professional manner when interacting with patients and the community.
  17. Demonstrates positive interpersonal relations skills in dealing with staff, providers and management.
  18. Proficient in written and oral communication.
  19. Demonstrates computer, time management and organizational skills.
  20. Adheres to the policies and procedures on confidentiality and HIPAA.
  21. Because of the Tribe's commitment to community service and the well-being of its members, each employee may be expected to perform a wide range of office and field duties from time to time. Such duties may or may not be related to their regular responsibilities.

EDUCATION - EXPERIENCE AND TRAINING FOR POSITION

Graduation from a high school or equivalent with course work in general office practices, and six (6) months of experience in an office, administrative, or related support position is required.
