JOB SUMMARY

Under general supervision of the Community Services Program Supervisor, the Community Support Services Lead will assist with overseeing the Mail Room operations and Front Desk operation, as well as, act as the Community Services Program Supervisor in their absence.

MAJOR TASKS AND RESPONSIBILITIES

  1. Supervises the planning, coordinating, assigning, prioritizing, work of other staff, as well as, providing directions and monitoring the quality of work.
  2. Understands and is able to perform primary functions of all administrative and mail room positions within Community Services.
  3. As needed, monitors staff schedules to ensure accessibility to all functions or events.
  4. Provides weekly status report to Community Services Program Supervisor.
  5. Assist with identifying and solving workload and scheduling problems; provide assistance to staff with difficult assignments.
  6. Assist with training employees for positions in assigned unit.
  7. Follow all policies regarding disciplining and terminating of employees.
  8. Fully understands and can interpret established policies, procedures and other relevant sources to internal and/or external customers over the telephone, in writing and/or in person. May deal with confidential, sensitive and/or potentially volatile situations.
  9. Assist with maintaining data bases for Community Services Programs, requiring servicing of community members.
  10. In the absence of the Community Services Program Manager, may be required to attend and record public and/or departmental hearings and/or meetings.
  11. In the absence of the Community Services Program Supervisor will supervise operations; plan and organize workloads and staff assignments; train and evaluate assigned staff, and review progress and direct changes as needed.
  12. Because of the Tribe’s commitment to community service and the well-being of its members, each employee may be expected to perform a wide range of office and field duties from time to time. Such duties may or may not be related to their regular responsibilities.

EDUCATION - EXPERIENCE AND TRAINING FOR POSITION

Graduation from a high school or equivalent with course work in general office practices, and three (3) years of experience in an office, administrative, or related support position is required.

 

Mailroom experience preferred.

SPECIFIC SKILLS/KNOWLEDGE/ABILITIES REQUIRED FOR POSITION

Knowledge of:

  • General office policies, principles and practices, rules, regulations, codes, laws, policies, procedures and ordinances regarding work assignment (this requirement may vary according to position assignment).
  • Computer software applications relative to the position assignment.
  • Basic accounting and mathematics.
  • Conflict resolution techniques.
  • Operation of standard office equipment that may include typewriter, personal computer, copier, fax machines and multi-line telephone.
  • Program specific information, terminology and/or equipment.
  • Principles and practices of supervision.

 

Skilled in:

  • Keyboarding (speed required may vary according to position assignment).
  • Analysis and problem solving.
  • Verbal and written communication.
  • Organization and time management.
  • Customer service ¾ in person and via telephone (discretion, patience, etiquette, professionalism).
  • Interpersonal and human relations.
  • Training employees.
  • Conducting research on a specific work assignment.

 

Ability to:

  • Maintain confidentiality.
  • Follow verbal and written instructions.
  • Work independently.
  • Prioritize workload and adapt to changes in workload demands.
  • Follow through on work assignments.

 

PHYSICAL REQUIREMENTS

The working conditions described herein are representative of those that must be met by an employee to successfully perform the essential duties of this class.   

 

The employee continuously uses vision.  Frequently sits for long periods of time.  Frequently talks and listens. Manual dexterity for computer work and routine paperwork. Occasionally walks and reaches with hands and arms.  Occasionally lifts up to 50 lbs.
