JOB SUMMARY

 The Family Resource Finance Specialist supports the financial processing and service coordination of community-based assistance programs. This position ensures timely and accurate processing of payments and documentation for services such as emergency assistance and utilities support. The role involves direct interaction with tribal members, program staff, and vendors to coordinate essential support while ensuring program compliance. The Finance Specialist will maintain a high level of communication, documentation, and data accuracy in daily responsibilities. The position requires a proactive, organized individual with strong interpersonal and technical skills. This role plays a critical part in maintaining service reliability for the Muckleshoot community.   

MAJOR TASKS AND RESPONSIBILITIES

  1. Process payments, requisitions, and purchase orders in accordance with program timelines.
  2. Maintain accurate and timely records of all financial transactions and communications.
  3. Track and document all communications with clients and staff regarding bill status.
  4. Respond to tribal members' questions about assistance program payments and timelines.
  5. Verify supporting documents such as invoices, quotes, and W-9s before processing.
  6. Notify clients promptly when payments are approved, denied, or changed.
  7. Ensure scanned documentation is saved, labeled, and organized by program year.
  8. Generate and send confirmation letters when payments are issued or denied.
  9. Document interactions and outcomes in internal systems such as TAMS.
  10. Coordinate with internal staff to ensure timely review and approval of RQs and POs.
  11. Monitor program funding limits and ensure individual benefit thresholds are not exceeded.
  12. Support clients in completing application paperwork and gathering required documentation.
  13. Check financial systems at set times throughout the day for approval updates.
  14. Flag incomplete applications and send close-out notifications when deadlines pass.
  15. Maintain confidentiality while handling sensitive financial and personal information.
  16. Because of the Tribe's commitment to community service and the well-being of its members, each employee may be expected to perform a wide range of office and field duties from time to time. Such duties may or may not be related to their regular responsibilities.

EDUCATION - EXPERIENCE AND TRAINING FOR POSITION

Required:

  • Associate’s degree in finance, business, education, or a related field.
  • Four (4) years’ experience working in a business, finance, or related field, may be considered in lieu of degree requirement.

PHYSICAL REQUIREMENTS

This position requires the employee to regularly sit, use hands to type, handle paperwork, and operate a computer. The employee must occasionally walk, reach with hands and arms, and carry documents or small office items weighing up to 10 pounds. Occasional driving may be necessary for outreach events or transporting documentation. Vision requirements include close vision and the ability to read screens and printed materials. The noise level is generally quiet, typical of an office environment. The role occasionally requires long periods of sitting and attention to detailed data.
