JOB SUMMARY

The CCDF Finance Specialist plays a vital role in supporting the financial operations of the Muckleshoot Indian Tribe's Education Department. This position ensures accurate processing of financial transactions related to child care programs and provider services. The specialist maintains compliance with federal and tribal regulations, including timely reporting to the Office of Child Care. They provide technical assistance and training to providers on invoicing and timesheet procedures. The role involves managing financial records for programs with over 200 enrolled students. Collaboration with internal teams and community members is essential to support the department's financial objectives.   

MAJOR TASKS AND RESPONSIBILITIES

  1. Process accounts payable and receivable transactions accurately and timely.
  2. Reviews and processes invoices and timesheets, tracking vendor’s submissions to identify any missing invoices/timesheets.
  3. Update ACF-700 data monthly to support annual reporting requirements.
  4. Provide training and technical assistance to providers on timesheet and invoice procedures.
  5. Complete meeting and travel arrangements for staff and providers.
  6. Compile financial data and prepare reports for internal review.
  7. Ensure compliance with tribal and federal financial regulations.
  8. Assist in budget preparation and monitoring expenditures.
  9. Coordinate with providers to collect and verify financial documentation.
  10. Respond to inquiries from community members regarding financial processes.
  11. Support internal audits by providing necessary financial documentation.
  12. Manage inventory and order supplies related to financial operations.
  13. Assist in developing financial policies and procedures for the department.
  14. Participate in meetings and training sessions as required.
  15. Collaborate with other departments to streamline financial processes.
  16. Maintain confidentiality of sensitive financial information.
  17. Because of the Tribe's commitment to community service and the well-being of its members, each employee may be expected to perform a wide range of office and field duties from time to time. Such duties may or may not be related to their regular responsibilities.

EDUCATION - EXPERIENCE AND TRAINING FOR POSITION

·         Associate's degree in finance, business, accounting, or a related field is required.

·         Four (4) years’ experience working in a business, finance, education, or related field, may be considered in lieu of education requirement.

PHYSICAL REQUIREMENTS

The CCDF Finance Specialist position primarily involves sedentary work, requiring prolonged periods of sitting and computer use. The role necessitates frequent communication with providers and staff, involving speaking and listening. Occasional lifting of materials up to 25 pounds may be required. The work environment is typically an office setting with standard lighting and temperature conditions. Regular use of office equipment such as computers, printers, and telephones is expected. The position may involve occasional travel within the community for meetings or training sessions. Visual acuity is necessary for reviewing financial documents and data entry. The role demands attention to detail and the ability to concentrate in a moderately quiet environment. Flexibility to adapt to varying workloads and deadlines is essential. Compliance with health and safety protocols is required.   

       

Licenses or Certifications Required

A valid Washington State driver's license is required at the time of appointment or at a time set by the Tribe
