JOB SUMMARY

Under general supervision of the Property Manager, the incumbent performs both technical and administrative duties to determine the initial and ongoing eligibility of applicants and recipients for the Housing and Home Repair Programs. This role involves providing guidance to applicants and homeowners on their rights and responsibilities, as well as available support services. The position also requires advising participants on applicable housing policies, procedures, regulations, and guidelines.   

MAJOR TASKS AND RESPONSIBILITIES

  1. Assists applicants in completing applications for homeowner related assistance, ensuring required documentation and verifications are included.
  2. Creates and maintains comprehensive applicant and resident files for future reference.
  3. Maintain an updated list of Tribal and non-Tribal support services that may benefit applicants and homeowners. Refers and assists applicants and homeowners as needed, in obtaining those services.
  4. Explain housing policies, procedures, and regulations to applicants and homeowners.
  5. Ensures participants are well-informed of their rights and responsibilities within the Housing programs.
  6. Provide homeowners with information on grant funding and preventative services.
  7. Conducts individual and group meetings to facilitate various home repair projects.
  8. Performs walkthroughs as determined to assess needs and to identify safety issues in homes.
  9. Prepares educational packets, sets up meetings, works directly with applicants and homeowners to prevent issues from arising in their homes.
  10. Assists Elder homeowners in submitting work order requests.
  11. Coordinate vendor services for necessary repairs, services, and home maintenance as needed.
  12. Perform moderate to complex numerical calculations involving accounts payable accounts receivable.
  13. Responsibilities include reconciling accounts, monitoring expenditures, preparing and monitoring budgets, payroll and/or other applications.
  14. Oversees the maintenance, archiving, release, and destruction of vital records in accordance with established policies and guidelines. Mishandling may result in significant consequences for the Tribe.
  15. May generate responses to internal and/or external customers addressing complaints, concerns, and problems of a controversial and sensitive nature that must be treated with a high degree of discretion.
  16. Transport passengers (as needed) in company vehicles.
  17. Because of the Tribe's commitment to community service and the well-being of its members, each employee may be expected to perform a wide range of office and field duties from time to time. Such duties may or may not be related to their regular responsibilities.

EDUCATION - EXPERIENCE AND TRAINING FOR POSITION

Required:

  • Graduation from a high school or equivalent with course work in general office practices.
  • Three (3) years of experience in an office, administrative, or related support position.

SPECIFIC SKILLS/KNOWLEDGE/ABILITIES REQUIRED FOR POSITION

Skills:

  • Keyboarding (speed required may vary according to position assignment); Analysis and problem solving; Oral and written communication. Organization and time management; Conflict resolution techniques; Operation of standard office equipment that may include typewriter, personal computer, copier, fax machines and multi-line telephone, program specific information, terminology and/or equipment, principles and practices of supervision; Customer service - in person and via telephone (discretion, patience, etiquette, professionalism); Interpersonal and human relations.; understanding of personal finances and family budgeting.

Ability:

  • Follow oral and written instructions; Maintain confidentiality of sensitive matters; Work independently, prioritize workload and adapt to changes in work load demands, provide training; Follow through on assignments as directed; Conduct research on a specific work assignment.

Knowledge:

  • General office principles and practices, including recordkeeping, filing and maintaining confidentiality; rental leases, housing policies and social services programs. General office policies, principles and practices, rules, regulations, codes, laws, policies, procedures and ordinances regarding work assignment (this requirement may vary according to position assignment); Computer software applications relative to the position assignment; Basic accounting and mathematics.

PHYSICAL REQUIREMENTS

Continuously uses vision and manual dexterity for computer work and routine paperwork. Frequently listens, talks, stands, or sits for long periods of time. Occasionally walks for long periods of time. Occasionally twists body and/or reaches with arms. Occasionally operates a moving vehicle and uses feet to move controls. Occasionally works outside and may experience exposure to weather.

Licenses or Certifications Required

Current and valid Washington State driver’s license.
