JOB SUMMARY

Under the direction of the Payables Manager, the Payables Specialist is responsible for performing administrative and clerical accounts payable tasks and functions, to maintain compliance with the Housing Authority’s policies and procedures. The Specialist must also provide high quality customer service to both internal and external groups.

MAJOR TASKS AND RESPONSIBILITIES

  1. Create requisitions for invoice processing.
  2. Process invoices for payment in the accounting system.
  3. Reconcile vendor statements.
  4. Scan documents into the imaging system.
  5. Print checks and related documents.
  6. Mail or distribute accounts payable checks.
  7. File accounts payable documents.
  8. Assist with inventory as assigned.
  9. Assist with other Finance tasks as assigned.
  10. Because of the Tribe’s commitment to community service and the well-being of its members, each employee may be expected to perform a wide range of office and field duties from time to time. Such duties may or may not be related to their regular responsibilities.

EDUCATION - EXPERIENCE AND TRAINING FOR POSITION

Graduation from a high school or equivalent. Two (2) years accounts payable experience.

 

Special Requirements: Must pass pre-employment background check and drug screening.

SPECIFIC SKILLS/KNOWLEDGE/ABILITIES REQUIRED FOR POSITION

Knowledge of:

  • General office principles and practices.
  • Software applications relative to the position.
  • Proper English grammar, usage and spelling.
  • Word processing and spreadsheet applications.
  • Basic accounting and mathematics.

Skilled in:

  • Keyboarding (speed required may vary according to position assignment).
  • Excellent communication (oral and written).
  • Interpersonal and human relations.
  • Problem solving.
  • Effective customer service (in person and via telephone – discretion, patience, etiquette, and professionalism).
  • Using 10-key machine by touch.
  • Numerical analysis.
  • Operating a variety of office equipment (fax machine and copier).

Ability to:

  • Follow oral and written instructions.
  • Adapt to frequent interruptions and changes in workload demand.
  • Maintain confidentiality of sensitive matters.
  • Follow through on assignments.
  • Learn specialized terminology relevant to position.
  • Take initiative.
  • Conduct research for specific work assignment.

PHYSICAL REQUIREMENTS

The working conditions described herein are representative of those that must be met by an employee to successfully perform the essential duties of this class. Frequently required to sit, stand, talk, and hear. Requires manual dexterity for computer and routine paperwork. Occasionally walks and reaches with hands and arms. Occasionally lifts up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision and the ability to adjust focus. The noise level in the work environment is usually moderately quiet.
