  • MAJOR TASKS AND RESPONSIBILITIES

    Attendance

     

    a. To be in attendance and on time.

     

    Job Skills and Duties:

     

    a.         Answers multi-line phone, routes calls and documents messages. Able to distinguish priority of calls and notifies appropriate personnel.

    b.         Displays a positive, friendly and helpful attitude with all customers and staff.

    c.         Follows policy and procedures related to HIPAA laws, code of ethics and privacy principles.

    d.         Assists with filing, assembling new patient records, record repairs and splitting of files as necessary.  

    e.         Types, performs word processing duties, correspondence and other clerical duties related to PHI, documentation, reports and messages.

    f.          Assists with all business office functions within the HWC to include all department receptionists including the switchboard operator. 

    g.         Opens, dates, stamps, sorts and distributes incoming mail to all HWC departments. Processes outgoing daily mail, bulk mailing and express packages.

    h.         Makes daily rounds for mail/and or chart pick up and delivery.

    i.          Provides clerical and administrative support to other departments as assigned/necessary.

    j.          Assists with minutes and attendance at staff and departmental meetings.

    k.         Other duties as assigned.

     

    Safety

     

    a.         Adheres to safety policies and procedures within the clinic.

    b.         Participates in filing incident reports when appropriate and forwards them to Assistant Health Director.

    c.         Follows OSHA and safety guidelines applicable to the clinical area.

     

    Communication.

    a.         Represents the MIT Health Program in a positive and professional manner when interacting with patients and the community.

    b.         Demonstrates positive interpersonal relations skills in dealing with staff, providers and management.

    c.         Proficient in written and oral communication.

    d.         Demonstrates computer, time management and organizational skills.

    e.         Adheres to the policies and procedures on confidentiality and HIPAA.

     

    OTHER DUTIES:

     

    Because of the Tribe's commitment to community service and the well-being of it's members, each employee may be expected to perform a wide range of office and field duties from time to time. Such duties may or may not be related to their regular duties.

    EDUCATION - EXPERIENCE AND TRAINING FOR POSITION

    1. Able to communicate effectively in the English language in person, by phone and in writing.
    2. Dependable and prompt.
    3. Ability to be physically active up to 60% of the time to include standing, bending, lifting, pushing, pulling and reaching.
    4. May need to lift up to 50 pounds.
    5. Detail oriented.
    6. Positive and team oriented.
    7. Demonstrated successful customer service skills
    8. Demonstrated work history to be prompt and dependable.

     

    EDUCATIONAL REQUIREMENTS:

    1. HS Graduate or equivalent
    2. 6 months minimum experience in customer service/medical field.
    3. Training in Customer Service, Communications or related field preferred.

    SPECIFIC SKILLS/KNOWLEDGE/ABILITIES REQUIRED FOR POSITION

    1. Verbal and written communication skills including writing, correspondence, multi-line phone and office equipment.
